Facilities and Operations Assistant (Part-Time)

Hive Group is seeking a part-time, on-site Facilities and Operations Assistant to support an assisted acquisition center within the General Services Administration (GSA). This role will ensure the physical readiness, smooth daily operations, and professional presentation of the office and conference spaces for internal staff and government clients. The Facilities and Operations Assistant will work closely with the onsite Operations team to maintain operational excellence, promote an organized environment, and strengthen service delivery across the AAS enterprise.
The ideal candidate is a service-oriented, reliable, and highly organized individual who can manage multiple duties related to office administration, facilities management, and technical readiness with limited oversight. Candidates must reside in the Washington, DC-Maryland-Virginia (DMV) area.
Position Responsibilities
This position is 2 days per week and requires 100% onsite presence at the Hive Group central office in McLean, Virginia to fulfill the requirements and responsibilities of the role. Final scheduling will be determined by the onsite Office Manager/Operations Team/Contract Leadership.
Office Management and Administrative Support:
- Front Desk/Reception Coverage: Serve as the front-desk point of contact during designated hours as backup for the onsite Office Manager; professionally greet, direct, and check-in/out all clients, guests, and visitors; ensure all onsite personnel comply with badging and security procedures; receive incoming and prepare outgoing mail.
- Supply Management: Manage inventory, ordering (within established budget guidelines), receiving, and stocking of all kitchen, cleaning, and general office supplies; assist with expense reporting tasks
- Office Readiness: Maintain the professional appearance, organization, and cleanliness of common areas, supply rooms, and shared workspaces.
- Client Deliverable Support: Submit weekly client status updates with assistance from Office Manager; assist Office Manager with additional client-facing deliverables as needed.
Technical and Facilities Support:
- Conference Room A/V Setup: setting up, testing, and troubleshooting dedicated audio/visual (A/V) equipment within conference rooms for onsite client meetings; “reset” conference room layouts after meetings have completed.
- Basic Technical Assistance: perform limited physical IT tasks, including connecting employee devices to printers/networks and troubleshooting basic connectivity or onsite internet issues on direction from the IT Systems Administrator
- Vendor Support: Coordinate with the Office Manager to facilitate vendor access (e.g., cleaning crews, repair technicians) to the space
- Physical Facility Support: Assist with small moves, furniture configuration, and ensuring general facility maintenance issues are reported promptly; “reset” workstation layouts and open workspace furniture back to ready state; ensure proper security protocols are followed.
Required Qualifications
- Background in customer service with strong interpersonal and communication skills.
- Proven reliability, punctuality, responsiveness, and a strong professional demeanor.
- Ability to work thoughtfully and respectfully with a wide range of stakeholders at all levels.
- Exceptional organizational skills and attention to detail.
- Demonstrated experience operating independently with limited oversight.
- Proficiency with standard office productivity software (e.g., Microsoft Office Suite and Google Workspace).
Preferred Experience/Desired Qualities
- Currently pursuing or holding a college degree in Business Administration, Operations Management, IT, or a related field. Retired professionals are encouraged to apply.
- Prior experience working in a professional office, administrative, or facilities support role.
- Experience with and technical familiarity of A/V equipment setup in a corporate meeting environment.
- A basic understanding of IT concepts (hardware setup, cable types) is helpful, though not required.
- Learning/growth mindset with an eye for process improvement and managed service optimization.
